Booking Policy for Customers

Thank you for choosing Fairy Tale Event Collective for your party! Please read our party booking policy carefully to ensure a smooth and enjoyable experience.

 

This policy outlines the terms and conditions governing the venue decoration services offered by Fairy Tale Event Collective. By booking and paying a deposit, the client acknowledges and agrees to the following terms:

  1. Booking Confirmation and Deposit: All party bookings must be made through our website or by contacting our team directly. A non-refundable deposit as shown in the invoice is required at the time of booking to secure your reservation. Full payment of the remaining balance is due 7 days before the event. Failure to make the full payment on time may cancel the booking, and the initial deposit may be forfeited. A confirmation email will be sent to you once your booking is secured. Please check your spam/junk folder if you do not receive it within 2 days.

  2. Design Consultation and Planning: An initial consultation is offered free of charge to discuss the client’s vision and event requirements. Additional consultations, including custom sketches, site visits, or detailed design sessions beyond the initial consultation, will incur an hourly rate unless included in a pre-purchased package.

  3. Custom Orders and Special Requirements: Customized decorations, including but not limited to personalized signage, custom floral arrangements, or any specialized decor items, will incur additional fees. These fees are non-refundable once production has commenced. Customization requests must be confirmed at least 21 days prior to the event to allow for adequate sourcing, production, and preparation time.

  4. Cancellations and Refunds: Cancellation by Customer: If you need to cancel your party, please notify us at least 21 days in advance for a refund of the remaining balance (minus the deposit). Late Cancellation: Cancellations made within 21 days of the event will forfeit the deposit and the remaining balance will be charged. It will be changed to a voucher and can be used for a future event. Cancellation by Us: In the unlikely event that we must cancel your booking, you will receive a full refund of any amounts paid.

  5. Changes to Booking: Any changes to the scope of decoration, layout, color schemes, themes, or other specific details must be communicated at least 21 days prior to the event. If it is achievable, it will be communicated. Changes that increase the project’s cost will require additional payment and may impact the event timeline or decor setup. You may reschedule your party without penalty if done at least 21 days in advance. Rescheduling requests made within 21 days may incur a fee of $100.

  6. Liability and Damage: The client assumes responsibility for any damages to rented decorations or decor elements caused by event attendees, third parties, or unforeseen incidents. The event contact is responsible for notifying the Fairy Tale Event Collective of any changes or amendments required promptly. Fairy Tale Event Collective will not be held responsible for any changes made by you or your selected service providers. Any cancellation or amendment fees will be payable by the event contact. Any damage to the venue arising from decor setup, such as wall installations or hanging structures, will be the client’s responsibility unless prior arrangements have been made with the venue and documented in writing. The host is responsible for the conduct of all guests during the event. We reserve the right to terminate the event if any guests engage in disruptive or unsafe behaviour towards our staff.

  7. Setup and Takedown: Standard setup is included in the booking cost and will typically be scheduled before the event, depending on venue availability and access. Please allow 4-6hrs before the event for a full venue set up. Allow a minimum of 2 hrs for a main area setup. You agree that either yourself or another nominated adult will remain present for the duration of the styling and event itself, and will be responsible for the supervision of the event. Takedown and removal of decor items will be completed within a mutually agreed timeframe after the event. Additional fees may apply for any delays caused by venue restrictions or unplanned changes.

  8. Payment Methods: Payments are accepted via bank transfer, credit card, or approved digital payment platforms. A receipt will be issued for each payment transaction. The event contact is responsible for payment to Fairy Tale Event Collective as per this contract. Late payments will incur a 5% late fee per week. The event contact will be invoiced by Fairy Tale Event Collective for any parking expenses or tolls incurred whilst on location at your chosen venues.   9. Outdoor Events and Weather Contingencies: For outdoor events, clients are strongly encouraged to plan for alternative arrangements in case of adverse weather, as Fairy Tale Event Collective will not be held liable for delays, cancellations, or damages caused by inclement weather. Additional charges may apply for weather-related contingencies, including but not limited to tents, waterproofing, or expedited timelines. Fairy Tale Event Collective will use their judgement when taking action in regards to late changes, weather, tardiness and non-performance based on the situation, time limitations and/or your wishes.

  10. AI-Generated and Digital Inspiration: We understand that clients may provide AI-generated or digital images as inspiration. While these visuals can be helpful for guiding the design direction, they often contain digitally idealised elements that are not always feasible in real-world setups. Fairy Tale Event Collective will use professional judgment to interpret and reimagine such inspiration into a practical, high-quality outcome using available materials and venue constraints. Exact replication is not guaranteed.

  11. Privacy and Promotional Use: All personal information collected during the booking process will be handled per our Privacy Policy. We do not share your information with third parties without your consent.

  12. Intellectual Property Rights: All creative work produced by Fairy Tale Event Collective, including but not limited to event styling designs, photos, videos, and digital content, remains the intellectual property of Fairy Tale Event Collective unless otherwise agreed in writing. Clients may use photos and videos of their events for personal, non-commercial purposes. Any commercial use, reproduction, or distribution of our creative work without prior written permission is prohibited. Fairy Tale Event Collective reserves the right to use photos and videos of events for promotional and marketing purposes, unless the client expressly requests otherwise in writing before the event date.

  13. Hired Items: Items are provided for temporary event use only and must be returned or made available for collection in good condition. Some high-value props or items may require a refundable security deposit, which will be invoiced separately, this covers damages or late returns. Use and Care of Hired Items- All props, signage, and furniture hired as part of a styling package must be used responsibly and returned in their original condition. Damage, loss, or misuse will result in replacement or cleaning fees. Items returned in an unclean or altered condition (e.g. sticker residue, paint, or food stains, damages) may incur a cleaning or restoration fee. Props and decor may not be suitable for outdoor or exposed settings unless specifically arranged. Clients are encouraged to obtain event insurance. Fairy Tale Event Collective is not responsible for accidents or misuse involving hired items after handover. 

  14. Agreement and Acceptance: By paying the non refundable deposit, the client agrees to the terms outlined in this booking policy. Upon accepting this contract you agree that the commitment by Fairy Tale Event Collective to you includes all items and services as outlined in the itemised invoice issued.

Policy Review This booking policy will be reviewed annually to ensure it meets customer needs, reflects changes in inventory.
